Position Summary
The Finance and Operations Director oversees all financial aspects of the organization, including management of accounting and budgeting processes, while also leading operational functions to ensure smooth day-to-day operations, including business planning and budgeting, human resources, recordkeeping, compliance with financial policies and operations, grant reporting, and generally accepted accounting principles.
Qualifications
- Living in New Mexico
- Bachelor’s degree in accounting, finance, or related field
- Demonstrated experience overseeing finance and operations in a non-profit or for-profit organization
- Possess a solid understanding of financial controls and sound financial policies
- Experience in developing internal policies and procedures
- Strong organizational, planning, communication, problem-solving, time management and collaborative skills
- Strong technology skills including proficiency with Microsoft Office suite of products, database systems, Google Workspace, internet, email, spreadsheets and financial software
- Must be willing and able to work occasional nights and weekends
Preferred Qualifications
- Masters degree in accounting, finance or related field
- Experience using QuickBooks online
- Comfortable with using social media and other emerging technology like AI
- Experience managing staff

Primary Duties
Management of Accounting and Budgeting Processes
- Develop and maintain sound financial policies and procedures using an accrual basis of accounting, as required by US GAAP financial standards
- Manage all day to day input of accounting records into QuickBooks Online, including but not limited to Accounts Receivable, Accounts Payable, and Credit Card transactions as well as donations and grants
- Track and code expenses for all staff and programs and provide program budgets for grant applications and reporting
- Provide budgeting, tracking, and forecasting reports to support strategic planning on an ongoing basis
- Work with the Executive Director on annual budget development, planning, and reporting
- Prepare and present monthly cash flow, budget to actual, and other required reports
- Provide monthly financial reports and summaries for board meetings, as well as coordinate the Board Finance Committees
- Manage all financial reports, including budget, cost sharing, and grant reports
Lead Operational Functions
- Support new staff and board member orientation, including training staff on internal processes and procedures
- Oversee HR functions including development and management of internal policies and procedures, (ex. appropriate timesheet management), hiring processes, and annual employee evaluations
- Schedule and manage annual admin calendar, including regular staff meetings and staff evaluations
- Work with third-party vendors and companies and maintain list of trusted vendors
- Provide staff administrative support and foster a collaborative and accountable work environment
- Manage and track vendor contracts, including payment schedules
- Work with benefits providers to maintain and update staff benefits as needed
Ensure Appropriate Organizational Compliance
- Regularly review and ensure adherence to policies and procedures, and suggest new processes as needed
- Ensure compliance with all federal, state, and local regulations
- Prepare and submit all annually required government reports
- Work with legal counsel to ensure all legal requirements are met
- Manage and submit all legal reporting requirements including SOS, AG, FEC, MFC, IRS, etc.
